Set up ClockNeXt and find your way around.

This guide follows the current ClockNeXt navigation. Start with the setup checklist, then use the menu guide whenever you need to understand where a feature lives.

Quick start

Complete these steps before your first shift.

Step 1

Create and verify your account

Register with your email, accept the privacy terms, enter the verification code sent to you, and sign in.

Step 2

Set your regional preferences

Open Settings and choose your country, currency, and language. Add your name and deduction rates, then tap Save.

Step 3

Add your first company

Open Clients and add the employer or client you work for. Enter the hourly rate and any applicable wage rules.

Step 4

Make a backup

After setup, use Settings > Backup Local Data. Your shifts, schedules, and wage settings are stored locally by default.

Free access

All ClockNeXt work tools are free for registered users. Schedule, schedule reminders on mobile, multiple companies, Earnings, PDF and Excel export, report sharing, History, and local backup are available without a subscription or trial.

Daily use

Tracker

Tracker is the main screen for recording a live shift.

  1. If you have multiple companies, select the one you are working for. If you have one company, ClockNeXt uses it automatically.
  2. Add an optional note describing the shift or task.
  3. Tap Clock In when work starts.
  4. Return to Tracker and tap Clock Out when the shift ends.

If today's Schedule has a planned shift, Tracker can show it with Start now. Tapping Start now clocks you in for that company and changes the action to End now. End now clocks out and moves the worked shift into History.

If there is no company yet, choose "Add company" from the company selector or open Clients from the menu.

Planning

Schedule

Schedule keeps planned shifts separate from hours you have actually worked. It is free to use.

  1. Schedule opens with All companies selected so you can see every pending shift. Select a company when you want to filter the list.
  2. Choose Add manually to enter the date, start time, end time, and an optional note.
  3. Choose Import with OCR to scan a gallery image, camera photo, or PDF. Imported schedules must be linked to a company before they are saved.
  4. Review every OCR result, edit incorrect dates or times, remove unwanted rows, and confirm the import.

Pending schedules remain on the Schedule page until you confirm that they were worked. Use the action menu to edit, duplicate, or delete a schedule. Duplicate opens a new schedule with the same company, times, and note so you can change the date or time before saving.

For a shift that starts today, use Start now to clock in directly from Schedule. The button changes to End now, and ending the shift saves the worked time to History.

After the planned end time passes, the Mark completed button appears. Completing the schedule moves it to History using the planned start time, end time, company, and note. If you do not tap Start now, End now, or Mark completed, ClockNeXt moves ended schedules to History when the app next checks local schedules. History then feeds Earnings and Reports.

On the mobile app, Schedule Reminders can create local phone notifications one hour before the shift, five minutes before clock-in, and at the planned end time. Adding or importing a schedule creates its reminders automatically. Editing reschedules them, while deleting, starting, ending, or completing the schedule cancels or replaces them as needed.

Web and PWA reminder limit

Web and PWA schedule reminders are not server push notifications. ClockNeXt keeps schedule and work data on your device, so reliable schedule reminders are handled locally by the installed mobile app.

Review and correct

History

History shows completed shifts for a selected company and date range.

  • Select a company before viewing its shifts when you have multiple companies. A single company opens automatically.
  • Use the calendar control to limit the list to a pay period.
  • Use Add to enter a shift manually when you forgot to clock in.
  • Edit incorrect start times, end times, companies, or notes before calculating earnings.
  • Tap the duplicate icon on a completed shift to open a new copy with the same times, company, and note. Change the date or time, then save it as a separate History entry.
Wage setup

Clients

Clients stores each employer or customer and the rules used to calculate that company's wages.

When an extra crosses midnight

If an extra starts at 22:00 and ends at 02:00, ClockNeXt treats it as one period crossing midnight. Hours from 22:00 to 00:00 use the first day's rate. Hours from 00:00 to 02:00 use the next day's rate. If Sunday and a public holiday overlap, the higher base-pay multiplier is used instead of multiplying both together.

Tap a company to make it active. Use the edit icon to update its rules. You can add and manage multiple companies without a subscription.

Wage checks

Earnings

Earnings estimates gross pay, deductions, and net pay from your recorded shifts and client wage rules.

  1. With multiple companies, select one company or view all companies. A single company is used automatically.
  2. Select a date range matching your pay period.
  3. Review total hours, gross wage, deductions, net wage, and the detailed rate breakdown.
  4. Use OCR import when you need to import worked shifts from an image or PDF. Every imported shift must be linked to a company before it is saved to History.
  5. Export the earnings calculation as a PDF when needed.

Earnings uses completed work from History. Planned items under Schedule do not affect wage totals until the actual worked shift is recorded.

Export work records

Reports

Reports creates a work-log file for one company and one selected date range.

  • Select the target company when you have multiple companies, then choose the reporting period. A single company is used automatically.
  • Confirm the displayed total hours and session count.
  • Export PDF.
  • Export Excel or send the report using the device share menu.

To send a report to a supervisor, first add the supervisor email in that company's Clients settings.

Invite others

Referral

Referral displays your unique code and link. Use Share or Copy to send the invitation. The page also shows your qualifying referral count and reward rules.

Account messages

Notifications

Notifications contains messages from ClockNeXt about your account and service. Admin broadcasts are shown as coming from ClockNeXt Team, not from an individual admin email. Pull down to refresh, open messages to mark them as read, use Mark all read, delete one message, or clear the inbox.

Settings

Protect your work records

Account sync does not replace a local-data backup. Make regular backups, especially before changing phones, clearing app storage, or reinstalling the app.

Recommended workflow

A simple routine for reliable wage checks.

  1. Add upcoming shifts in Schedule when you know them, or clock in and out from Tracker every workday.
  2. Use Start now and End now for today's scheduled shift when possible.
  3. Review History weekly and correct missing or inaccurate shifts.
  4. At the end of the pay period, select the same dates in Earnings and Reports.
  5. Compare ClockNeXt's estimate with your payslip.
  6. Export the report and keep a current local-data backup.
